The role:

Supply planner – Special projects works closely with internal stakeholders to make strategic brand and commercial opportunities come to life with external vendors to achieve business expectations and financial goals. The role is to ensure that the special projects are incorporated to the global supply plan and that the business and vendors are aligned to agreed timelines for special brand and commercial projects through clear, effective communication with stakeholders. They work closely together with Supply coordinators and planners to consolidate special project into the global buy plans and to ensure minimal impact on global buy plan and generation of liability of raw materials.

Supply planner – Special projects is accountable for agreeing buy and production timelines with vendors and coordinating buy process for special projects with internal stakeholders. The remit includes production tracking, management of additional business costs on purchase orders and communicating business needs between vendors and internal stakeholders. Supply planner – Special projects provides input to OTIF and Forecast vs actuals reporting and performs root cause and is responsible for implementing prevent recurrence actions working with internal and external stakeholders.

The role you’d play:

  • Drive process reviews and improvements within supply chain function
  • Build vendor relationships to benefit Pentlands strategic direction
  • Be a key enabler of collaboration and process implementation within the business
  • Formulate global supply plans with internal stakeholders and vendors
  • Agreeing actions needed to achieve global supply plan with vendors and internal teams by proposing solutions. E.g. level scheduling, limited buys
  • Provide purchasing dates for special projects and agreeing them with vendors
  • Work closely together with Supply coordinators and planners to consolidate special project into the global buy plans and to ensure minimal impact on global buy plan or generation of liability of raw materials
  • Manage multiple timelines to achieve requirements for each business opportunity
  • Support tier 1 vendors with raw material management for special projects and enable them to commit to raw materials in line with business expectations
  • Track the liability of raw materials, report to business and work with teams to enable additional opportunities to reduce it
  • Assess risk of commitments with tier 1 vendors and track consumption and level of risk through out the year
  • Manage special buying cycle executing the buy in line with the agreed project timelines.
  • Managing the non-buy process, report & communication for the special projects
  • Co-ordination with relevant teams to monitor critical path activities where needed
  • Manage production plans for special projects with vendors by reviewing collaboration in Nexus
  • Communicate production delays to regional customer operations and planning teams
  • Communicate requests for changes in the global production plans, freight modes and intended collection dates to vendors
  • Manage vendor queries regarding customer/regional VAS requirements
  • Manage occurring vendor surcharges and communicate them to regions and brands for approval and report on them for KPI’s
  • Investigate and correct price discrepancies between Pentland and vendor invoices
  • Investigate production delays to determine counter measures and establish root cause to prevent re-occurrence working closely with the vendors and internal stakeholders
  • Support supply chain coordinators with review of delays and help prioritise and plan alternative production and supply plans and presenting them to the business
  • Identify and manage non-conformances against agreed process and ways of working with vendor base providing solutions to meet the business expectations that minimize costs and maximizes opportunities and provide training where required
  • Manage occurring vendor surcharges and communicate them to regions and brands for approval and report on them for KPI’s
  • Manage other additional costs from vendor. Manage subsequent debits with vendors as needed
  • Report on Forecast vs. actuals, root cause issues with regional teams and work with internal and external teams to mitigate impacts of variances
  • Report on OTIF and root cause information
  • Capture and provide data highlighting improvement opportunities and best practice to optimise supply chain performance and efficiency to drive continuous improvement
  • Provide support across the global supply planning function when necessary
  • Supporting onboarding of new vendors and provide them a continuous support on Pentland processes
